Office Manager
Located in San Jose and founded in 1981, the DeFrank Center is the South Bay’s leading community-based organization serving youth, families, adults and seniors in the lesbian, gay, bisexual, transgender and allied communities. The Center provides a broad range of health and emotional wellness programming and social activities in a newly renovated facility, and has an annual operations budget of approximately $1,000,000.
MAJOR AREAS OF RESPONSIBILITY:
Leadership & Communication:
- Works with the Executive Director and staff in maintaining the strategic direction of the Center
- Assist in maintaining and upgrading administrative functions, companies filing and accounting systems and personnel requirements
- Promotes awareness and visibility of the DeFrank Center
Personnel Management:
- Produce bi-monthly payroll, utilizing a direct deposit system (ADP)
- Assist the Executive Director in human resources functions
- Maintain employee vacation, time off requests, personnel records and other related items
- Ensure confidentiality and archive payroll records
- Establish on boarding new employees including assist in enrolling in the benefits program and payroll system
- Work with the Executive Director to maintain appropriate amenities for the Center
Financial Responsibilities:
- Maintain the Center A/P and A/R
- Bank deposits, reconciliation, month end, closing and financial statements
- Work closely with the Executive Director in preparation/management of budgets and financial reports
- Ensure confidentiality and retain all company accounting and operations records
General Responsibilities:
- Answer phones, respond and distribute phone messages
- Distribute mail/packages to the appropriate staff or organization
- Maintain the office equipment including supplies and repair
- Inventory, maintain, and order supplies as need by the organization
QUALIFICATIONS:
- Three years of office management; experience in the non-profit sector preferred
- A degree in a related field or equivalent experience required
- Proven record of experience with strong skills in establishing and maintaining a diverse chart of accounts
- Proficiency in QuickBooks, Microsoft Word, Excel and Power Point; excellent computer skills are essential
- Demonstrated ability to sustain productivity and accuracy under tight deadlines
- Ability to organize workload and maintain multiple priorities
- Excellent oral and written communication skills; strong interpersonal skills
Demonstrated ability to work independently, use good judgment, display resourcefulness and initiative
Compensation:
Starting Salary: Low to Mid $30’s commensurate with experience. Includes: medical, dental, vision, life insurance and vacation leave benefits after 90 days.
